    Applied Insight (AI) is seeking an Office Administrator at our Office in Tysons, VA. 

     

    This position is responsible for the coordination of all activities associated with general front office management. This individual will support the corporate office of a mid-size federal contracting company. We are looking for an office administrator who has an upbeat, positive, and engaging demeanor to support the headquarters employees as well as various visitors to the building. Core hours for this position are Monday through Friday, 8:30am to 5:00pm, with flexibility to provide effective and efficient services for the company.

    Responsibilities

    • Serve as the face of the company to greet all visitors, maintain the guest log, notify appropriate individuals of guest arrival, and ensure proper security over visitors through the duration of their visit
    • Manage the reception area to ensure effective telephone and mail communications both internally and externally to maintain high-quality customer service
    • Performs routine administrative functions including word processing correspondence, memos and reports
    • Processes incoming / outgoing mail and overnight packages to include sorting and distributing to appropriate individuals
    • Coordinates conference room schedules and schedules appointments and office meetings as needed
    • Assist with major engagement activities, including conferences, meetings, and virtual training/webinar events
    • Manages and coordinates catering needs to include trainings and/or executive meetings
    • Monitoring and ordering supplies to ensure uninterrupted office operations
    • Manage relationships with building management and outside vendors
    • May assist other administrative staff with overflow work, including word processing, filing, and internet research tasks
    • Provide support to indirect staff leads, including executive team, as needed
    • Confident, self-motivated, resourceful, and collaborative team player with demonstrated attention to detail
    • Maintains confidentiality, diplomacy and professionalism at all times

    Qualifications

    • U.S. Citizenship required
    • Education: High School required
    • 1-3 years office and administrative experience
    • Excellent customer service skills, with prior demonstrated customer service experience and ability to multi-task
    • Candidate should possess strong written and verbal communication skills
    • Knowledge of Microsoft Word; Microsoft Excel; Microsoft Outlook; and Microsoft Power Point
