    Applied Insight (AI) is seeking a SCA-Administrative Support Specialist in Springfield, VA. 

    Responsibilities

    • Learn and perform data entry into Financial Management System
    • Package the receipts/accruals from multiple divisions within USMS/TOD
    • Assist other Management & Program Analyst with acquiring quotes from vendors and resellers
    • Process property transfers (inbound & outbound) in property system
    • Optimize product inventory management and work closely together with cross functional teams
    • Compile weekly report for the division Chief
    • Enter new accountable property into property system
    • Provide excess and transfer reports to division Chief each week
    • Monitor multiple Global Threat Awareness Program inbox
    • Provide USMS Senior Leaders with an OCONUS Travel Report each week
    • Monitor natural disasters/possible terror attacks that take place OCONUS and report information to senior OST leaders
    • Work on coordinating student rosters and other admin functions for the GTAC course
    • Monitor the GTAP inbox that receives requests or report of Foreign Travel
    • Conduct R&D on telecommunication, IT and other products and acquire quotes
    • Provide collaboration and procurement by managing the order process for all products and services
    • Follow up on requisitions from all branch with in OST, handle requests for quotes and re-quotes, processes purchase requisitions/purchase orders
    • Follow up on orders/approvals and resolve issues with invoicing and receipt discrepancies
    • Monitor various documents to ensure the format is correct and appropriate policies and procedures are correctly carried out
    • Update organizational chart/phone lists as needed

    Qualifications

    • TS Clearance preferred or must be clearable (US citizen)
    • Minimum 5 years of experience in the administrative/clerical field
    • Must have an Associate’s degree or a minimum of 5 years’ experience in organizational and administrative field
    • Excellent communication and interpersonal skills
    • Strong work ethic and always willing to learn and grow knowledge base
    • Team player
    • Self-motivated and punctual
    • Financial/budget management must be able to create, copy, edit, store, print and standardize documents using templates and PDF forms
    • Must familiar with procurement
    • Skills and knowledge of Microsoft Office Suite, Word, Excel, PowerPoint, Publisher, Outlook and Adobe Acrobat
    • Experience in scheduling appointments and meetings
    • Experience preparing documents, memos, reports and other documentation within an office and other professional settings
